The ICT Club of MNS-UET Multan, being an officially recognized student organization of the University, is fully committed to protecting the confidentiality, integrity, and responsible use of all personal and organizational data entrusted to it. This Privacy Policy outlines the principles and practices through which the ICT Club manages information relating to students, team members, office bearers, and societies that function under its umbrella. As an entity operating under the guidance of MNS-UET, the ICT Club adheres to the highest standards of academic professionalism, accountability, and institutional compliance.

The ICT Club may collect limited categories of student data in the course of its operations, including but not limited to names, roll numbers, university-issued email addresses, contact details voluntarily provided, academic information such as department, year of study, and participation history in events and programs. In addition, when students serve in leadership roles or participate in societies operating under the ICT Club Societies relevant data such as their role, responsibilities, and team assignments may be recorded for administrative and operational purposes. Furthermore, participation in bootcamps, hackathons, workshops, competitions, and official ICT Club activities may require students to share certain details which are necessary for registration, verification, and issuance of certificates or acknowledgments.

The ICT Club assures all stakeholders that student data collected will be used solely for legitimate academic and organizational purposes. This includes maintaining accurate membership records, verifying eligibility for events, issuing certifications, documenting achievements, facilitating alumni networking, preparing official reports for submission to MNS-UET authorities, and ensuring the efficient operation of the various sub-societies officially recognized under the ICT Club. At no point will student data be shared, sold, or disclosed to any third-party organization, company, or external body. The only exception to this rule is when the University itself requires student information for verification, official reporting, or compliance purposes. In such cases, data will be transmitted securely and exclusively to the competent authorities of MNS-UET.

Confidentiality is central to the ICT Club’s data policy. All information concerning student teams, societies, office bearers, and members is treated as highly sensitive and is managed with due care. Access to such information is restricted to authorized persons within the ICT Club leadership and faculty advisors, and every measure is taken to prevent unauthorized disclosure or misuse. Team data, membership rosters, and details of societies that operate under the ICT Club are regarded as confidential institutional property. They remain under the sole custody of the ICT Club and MNS-UET and cannot be shared outside this structure without explicit institutional approval.

The ICT Club also recognizes its responsibility to protect digital records and communication. All data collected is stored in secure digital repositories or official university systems with limited access, and appropriate safeguards are applied to prevent breaches or unauthorized use. While the ICT Club takes all reasonable steps to maintain data security, members are also encouraged to exercise discretion when sharing information and to recognize that their engagement with the Club signifies consent to the responsible use of their data as described in this Policy.

By becoming a member of the ICT Club, participating in its events, or serving in any leadership role within the Club or its associated societies, students acknowledge that their information may be collected and used in accordance with this Privacy Policy. The ICT Club reserves the right to update this Policy from time to time in order to comply with University directives, regulatory changes, or evolving operational needs. Any revisions will be communicated through official channels to ensure transparency and accountability.

Terms and Conditions

The ICT Club of MNS-UET Multan, approved as an official student organization of the University, operates as the umbrella body for all locally recognized societies functioning under its supervision. By becoming a member of the ICT Club, joining any of its affiliated societies, or participating in its events and activities, you agree to abide by the following Terms and Conditions, which are binding on all students, cabinet members, counselors, and teams associated with the Club.

1. Membership and Participation

Membership in the ICT Club and its affiliated societies is open to all currently enrolled students of MNS-UET. Members must provide accurate information during registration and agree that their data will be handled in accordance with the ICT Club Privacy Policy. Membership and participation are conditional on compliance with these Terms, and both the ICT Club leadership and University authorities reserve the right to withdraw privileges in the case of violations.

2. Authority and Governance

The ICT Club functions under the guidance of the Faculty Advisor appointed by the University and is officially recognized by the Vice Chancellor of MNS-UET. The Club acknowledges the permanent role of its Founder as an institutional figure and advisor, whose vision and leadership laid the foundation for its establishment. The President of the ICT Club serves as the highest-ranking student leader and, together with the Faculty Advisor, has the authority to oversee all decisions regarding ICT Club operations, affiliated societies, disciplinary actions, and resource usage. Any removal of a cabinet member, counselor, or participant from the ICT Club or its societies will require the joint agreement of both the President and the Faculty Advisor.

3. Roles and Responsibilities

Leaders, including cabinet members and society coordinators under the ICT Club, are entrusted with roles of trust and responsibility. They are required to act with integrity, uphold professionalism, and represent the values of the ICT Club and MNS-UET. Failure to perform responsibilities or any act of misconduct may result in disciplinary action, including removal from office, suspension of membership, or permanent exclusion from ICT Club activities.

4. Code of Conduct and Misbehavior Policy

All members are expected to maintain respect, professionalism, and integrity in their behavior, both online and offline. Any act of harassment, discrimination, dishonesty, misuse of ICT Club resources, or damage to its reputation will be treated as a serious violation. Misbehavior from ICT Club cabinet members, counselors, or members of societies functioning under ICT Club will result in disciplinary proceedings. If such a violation occurs, the President and Faculty Advisor, acting together, reserve the authority to immediately remove or suspend the responsible individual.

5. Use of ICT Club Name, Logo, and Resources

The ICT Club’s name, brand identity, logos, banners, and other official resources are the intellectual property of the Club and MNS-UET. They may only be used for approved academic, cultural, and professional activities conducted under the official recognition of the ICT Club and with prior authorization from the President and Faculty Advisor. Unauthorized use of the ICT Club name, logo, or banners for personal, commercial, or unofficial purposes is strictly prohibited and may result in disciplinary measures, including removal of membership and referral to University authorities.

6. Events and Activities

All events, whether academic, cultural, or community-based, must be conducted with prior approval of the Faculty Advisor and in alignment with University policies. Members agree to comply with event-specific guidelines, registration procedures, and evaluation criteria. The ICT Club will not be liable for personal belongings, travel, or non-academic outcomes during such events.

7. Confidentiality and Records

Information regarding ICT Club operations, cabinet records, member rosters, and society details is confidential and may not be shared outside the Club or the University without proper authorization. Any breach of confidentiality will result in disciplinary action and may be escalated to University authorities.

8. Limitation of Liability

The ICT Club functions as a student-led organization under the supervision of MNS-UET. While the Club takes reasonable care to provide academic, professional, and cultural opportunities, it does not guarantee specific outcomes and will not be held responsible for academic, financial, or personal consequences arising from participation.

9. Amendments and Enforcement

These Terms and Conditions may be revised periodically to reflect University policies or evolving needs of the ICT Club. All amendments will be communicated through official channels, and participation after publication of such changes will signify acceptance. Enforcement authority rests jointly with the ICT Club President and Faculty Advisor, with oversight from University administration where necessary.

10. Acceptance of Terms

By joining the ICT Club, registering in its affiliated societies, or participating in its events, you agree that you have read and understood these Terms and Conditions, and you accept the authority of the ICT Club President and Faculty Advisor in all matters relating to governance, discipline, and operations.
